Fees are quoted in euro (EUR), per person. Should VAT increase, registration fees will be adjusted accordingly. 

Registration fee includes: attendance to the workshops/sessions and exhibition, congress material, welcome reception on March 25, on-site lunches and refreshments, certificate of attendance 

* Student: to register as a student, a Proof of status is mandatory. To benefit from the special fee, a submission of your status confirmation (approval letter signed by the Head of Department or copy of your status ID) must be uploaded during the Online registration. As a general rule, PhD students are not considered students. 

** One day pass participation includes admission to all scientific sessions, workshops and exhibition for one day, on-site lunch and refreshments during the selected day in the exhibition area 

*** Mediato register as a media, please upload a business card or a signed letter of assignment from the media organization you represent and enter the name of the masthead you currently work for.

REGISTRATION INFORMATION

EUROBOTICS MEMBERSHIP
  • euRobotics members (Industry and Research) receive a number of free tickets based on their annual membership fee and a discount registration link for extra registration (provided that they have paid their euRobotics membership fee for 2024 and 2025). The codes will allow access to free registration until 31 of January 2025, after that 155 – 310 EURO (+ 19% VAT) will be added, depending on time of registration.
  • euRobotics members benefit from discounted rates for all additional tickets purchased. Associate members also benefit from the euRobotics discounted rates.
  • Free links will be sent directly to the contact person of the euRobotics members.
REGISTRATION FEES AND CONDITIONS FOR PAYMENT

CONFIRMATION 

At the end of the registration process online, a preliminary confirmation will be sent to the e-mail address provided. Once the payment has been received, the invoice will be issued as final confirmation of your registration. 

PAYMENT 

  • By Credit Card: Payments must be made in euros, by credit card or bank transfer (no cash payments are accepted). All major credit cards are accepted (American Express, VISA, Eurocard/Master Card)

Please note: 

  • All transfer charges must be prepaid by the transmitter. 
  • Personal cheques, company cheques or Euro cheques will not be accepted. 
  • In case the deadline for registration at early fee has passed before payment of a registration is received, the higher registration fee shall automatically apply. 
CANCELLATIONS AND REFUNDS

If you are unable to attend, you need to notify us by sending an e-mail with your name and registration confirmation to erf2025.reg@aimgroup.eu 

You will be refunded according to the following conditions: 

  • Cancellation until January 31, 2025 – Refund of all prepaid fees except for a 15% administration charge 
  • Cancellation after January 31, 2025 – No refund 

All approved refunds will be processed and issued 60 days after ERF2025.

UNEXPECTED CANCELLATION OF THE EVENT OR IMPOSSIBILITY TO HOLD IT

In the unlikely case that the “ERF 2025” cannot be held in whole or in part due to any event beyond the Organizers’ control or force majeure (such as riot, fire, explosion, accident, flood, earthquake, sabotage, strikes, acts of law or regulation by Italian or foreign Authorities, epidemic outbreak, sanitary emergency, etc.) the Congress Organizers cannot be held liable for any damage, cost, or loss incurred, such as registration fee, transportation and accommodation costs, or any other direct or indirect loss or consequential damage.

Registration fees and conditions for payment

  • Payment via Wire transfer only possible until February 7, 2023.
  • The registration fee is based on the date of registration and payment. 
  • If you want to benefit from the lower fee, register early and pay before the deadline.
  • Registration through invoice option will be automatically updated to the next fee if payment has not been processed before the payment deadline mentioned on the invoice.
  • Please make sure that you select the right ticket category (euRobotics Member/ Non-member) with the implications linked to it. Free ticket codes and discounted rates cannot be applied after a registration has been confirmed.
  • The ticket received upon registration is only valid once payment has been done. All tickets have to be paid before entering the forum regardless of the payment date on the invoice. 
  • Participants failing to present a valid ticket or proof of payment will have to buy on site tickets. No refunds will be made.

Cancellations and refunds

You will be refunded according to the following conditions

  • Cancellation up to 14 days after order – 100% refund (Cancellations received less than 14 days prior to the first day of the event are non-refundable.)
  • Cancellation after 31st of January – No refund

All cancellation requests will be handled after the ERF. All refund requests will handled as soon as possible, however in some cases, refunds will be handled after the ERF.
